The Problem: A company came to us seeking to improve the way it collected and managed data. It was using more than thirty different paper forms that were being filled our by technical personnel in the field. The forms were periodically turned into the main office, at which time the data on those forms then had to be re-keyed into a spreadsheet for analysis. Our Solution: We designed all the forms such that they would fit on Palm OS devices. The Palm-based forms were designed incorporating heavy use of pull-downs and numeric keypads, such that use of the Graffiti handwriting was minimized. The data on the Palm was set up to synchronize with a Microsoft Access database. The back-end database was custom developed by us and was designed keeping in mind that it would likely have to be upsized to Microsoft SQL Server at some point. The synchronization was initially done by cable; however, plans were put place to allow wireless synchronization as well. The Access database was set up to provide detailed analysis of the data, something that the company was not receiving when it was using Excel. Portions of the database were also accessible via the company's intranet. Summary data was made available to some of the company's constituents via an extranet. The Payoff: Due to improved operating efficiencies, the hard-dollar cost savings resulted in a payback of project costs in roughly nine months.
